Log in

A user who wants to access the mailbox containing the documents must first login securely. The service provides several signee login and authentication methods depending on the selected trust level and login method. Depending on the content, the document sender sets the desired level of login security and authentication method that the signee must use to prove their identity before accessing the documents in the mailbox and signing them.

Available login (authentication) methods:

1. Basic login – single-factor authentication (1FA)

The signee receives an email with a link to the document. Using their email account and the link in the email they receive they can access the documents in the mailbox. When the signee selects the received link the browser opens a web app which allows them to sign the document.

2. Advanced login – two-factor authentication (2FA)

The signee receives an email with a link to the document.   

- If the signee does not have a SETCEE electronic identity, the quick and simple process of creating it is started when they click the link. In the first step the signee must confirm their mobile phone number by entering a one-time password (OTP), received in a text message. The next step is to confirm the signee’s data which was previously entered by the document sender (first name, last name, email address and mobile number) and select the method of receiving the OTP for login (text message or through the Google Authenticator mobile app). If the document sender has required a higher trust level for the login method, the signee must enter a password or a password and OTP. After successful registration the signee is assigned access to a document mailbox and the option for e-signing. 

- If the signee already has a SETCEE electronic identity, then after clicking the link in the email they must confirm the authenticity of their e-identity in accordance with the selected trust level set by the document sender. After successful login the signee can access a document mailbox and has the option of e-signing.

3. Login with a local qualified digital certificate (QDS)*

The signee receives an email with a link to the document. By selecting the link to the document the signee logs in with their personal digital certificate, thereby proving their identity. After successful login the signee can access the document mailbox and select the option for electronic signing with a personal qualified digital certificate. 

*The BetrSign® service currently supports qualified digital certificates, issued by Slovenian qualified trust services providers. Qualified digital certificates offered by trust services providers will soon be supported too:

- from Slovenia,
- from Croatia,
- from Serbia,
- on the EU trusted list.


Signature type

Document signing with the BetrSign® service is independent of the user’s choice of electronic signature and is simple, fast and intuitive. Subject to the content of your documents and/or the type of business process you can select what form of electronic signature will be required from the signee(s).

You can choose from several forms of electronic signature:  

- Click2Sign
- Signing with a local qualified digital certificate
- Signing with a cloud qualified certificate
- Capture of handwritten signatures (tablet, smartphone)
- Capture of handwritten signatures on a Wacom signing device

Descriptions of the different types of e-signatures: 

- Click2Sign

The signee has the option of easily signing documents with a single click. Each signature is confirmed with a qualified digital seal provided by the BetrSign® service provider or the qualified digital seal of the document’s sender*.

- Signing with a local qualified digital certificate**

The signee has the option of signing documents with a personal digital certificate on a secure medium (a smart card or smart USB key);

- Signing with a remote qualified certificate*** 

The signee has the option of signing documents with a personal digital certificate stored in the cloud of a qualified trust service provider;

- Capture of a handwritten signature (tablet, smartphone)

The signee has the option of signing documents by capturing their handwritten signature on a mobile device (tablet computer or smartphone). A visualisation of the captured handwritten signature is included in the document, and both are protected with a qualified digital seal;

- Capture of a handwritten signature on a Wacom signing device

The signee has the option of signing documents by capturing their handwritten signature on a Wacom signing device. A visualisation of the captured handwritten signature is included in the document, and both are protected with a qualified digital seal provided by the BetrSign® (SETCCE) service provider or the qualified digital seal of the document’s sender*. Subject to the client’s requirements and local legislation, the service also provides the capture and inclusion of the biometric data for a handwritten signature in the signed document. Biometric data is further protected with strong encryption.

*NOTE: the BetrSign® service provider allows the client to install their digital certificate and signing key for the qualified digital seal on the provider’s secure infrastructure according to a predefined protocol. The qualified digital seal is used exclusively for document signing by the client’s representatives and its customers.

**NOTE: The BetrSign® service currently supports qualified digital certificates, issued by Slovenian qualified trust services providers. Qualified digital certificates offered by trust services providers will soon be supported too:

- from Slovenia,
- from Croatia,
- from Serbia
- on the EU trusted list,

Qualified digital certificates issued by trust service providers from Montenegro and Macedonia will also be supported shortly.

All forms of digital signature supported by the BetrSign® service are classified according to the requirements of the eIDAS European regulation as advanced or qualified forms of electronic signature. 

Management of signing workflows

Sending one or more documents for e-signing
By simply dragging and dropping or selecting documents from the file system you can include a maximum of nine documents in a single job that are to be sent to the signee for signing.

Sending of a document to any number of signees
A document can be sent for remote signing to any number of signees and you can separately request a different level of login or type of e-signature for each individual.

Default signing workflow on a document template
A multiple use document template with a precisely defined signing workflow can be prepared in advance. This makes it faster and more efficient to send documents for remote e-signing for known procedures and processes. A template can store the exact position where the e-signature is to be inserted, the required login method, type of e-signature and signees. The use of templates allows for the automation and standardisation of the process of preparing and sending documents to be e-signed.

Storage of job drafts
If the signing workflow has not been completed and the documents not sent to signees, a draft of the prepared job with the accompanying documents remains stored in the mailbox. On the next login into the portal with the saved draft you can continue editing the document and setting the signing workflow and signees.

Saving of signees
Saving signees to your internal address book simplifies and accelerates searching for all the data required for selecting and including signees.

Entering custom email content
Send the signee a customised welcome message inviting them to sign the document.

Automatic signee notification
When a document is sent all signees and those whom you wish to notify that the document is ready will receive an email with a document link where signees will be invited to e-sign the document.

Re-sending a document for signing
If the recipient does not respond to a request for the remote e-signing of a document or the recipient wants to receive the document again, you can re-send it to them for e-signing.

Review of document statuses
The signing workflow of the sent document can be monitored anywhere and at all times. Information about the activities of your signees allows you to determine whose signatures you are waiting for, whether a document has been declined, if it has already been signed by all the signees, or if it is already archived.

History of all signed documents
Access to a list of documents submitted for remote e-signing in a selected time period (up to 6 months in the past) provides a comprehensive insight into the history of e-signed business documentation with your customers and partners.

One signature for all documents (for handwritten signatures with Wacom signing devices)
Use a Wacom signing device to provide customers with a unique user experience even when they are required to sign in several places within a single document, or to sign several documents at the same time. With a single captured electronic signature, the signature will be securely included in all locations designated for remote signing. With the single signature signing process the BetrSign® service takes care of all additional security mechanisms to prevent any manipulation of the signature or documents.

Four-eyes principle
Establish a system for fraud prevention and provide the option for signing or confirming documents based on the four-eyes principle, where a document must be signed by at least two responsible persons.

Management of user groups
Enable the creation of different groups of signees with different privileges in the preparation and document signing phases of the process. Make sure that the right people will access and sign the right (types of) documents.

Setting the validity period of a document
The option for setting the time that a signee has available for signing a document prevents potential further inconvenience in communicating with the customer and the additional work that this results in.

Adding a QR code
If you would also like to prove the authenticity of a printed copy of an electronically signed document, one of the more elegant solutions is to add visual labels – QR codes – to the document. A QR code cannot be counterfeited because it is signed with the same digital seal and contains all the key data about the job pr signed document.

Video identification
You can use the video identification function to streamline identification and on-boarding of signees. Video identification enables the advanced digital transformation of your company, reduces the costs of including (digital) clients or partners and provides a unique user experience. The video identification procedure is simple and fast, and the signee only needs a personal ID and a mobile device or computer equipped with a camera. After successfully completing the video identification procedure the signee can sign a document in the same step.

Signing with the client’s qualified electronic time stamp

If you need long-term and legally compliant document storage, but do not have the required information support, you can deposit all e-signed documents in an accredited service for long-term storage. Are documents signed with the BetrSign® service compliant with legislation?

The BetrSign® service is compliant with the requirements of European eIDAS and GDPR regulations, national regulations and laws covering the relevant field. The legal validity of an e-signed document is proven in accordance with legislative provisions, the key being the method of implementation and the use of e-signatures in companies’ business processes. Evidence of a person’s connection to an e-signature and documents is provided by a securely stored audit trail which holds the history of the entire signing procedure.

Is the BetrSign® service secure?

Do I need a qualified digital certificate to e-sign a document?

A qualified digital certificate is not needed for secure and legally compliant e-signing of documents. For an improved user experience and to support the usage of e-signed documents in everyday processes, the BetrSign® service does not require signees to have their own technical resources for e-signing, such as digital certificates, smartcards and USB keys. The BetrSign® service enables signing with a qualified electronic seal of the SETCCE service provider.

If you have a special requirement for e-signing to use qualified digital certificates, the BetrSign® service provides additional options such as the use of personal qualified digital certificates on (local) secure media (smartcard or key) or in the cloud.

Can documents that have been signed by our employees (and our customers if they don’t have their own qualified digital certificate), be signed with the qualified digital seal of our company?

All your employees and customers/signees have the option to e-sign documents with your company’s qualified digital seal. In this case a visualisation of the employees’ and customers' signatures will be included in the document. The visualisation of the signature contains data on the first and last names of the signee, the time of signing and information that the document has been digitally signed.

Which personal qualified digital certificates are supported for e-signing documents with the BetrSign® service?

The BetrSign® service supports all qualified digital certificates, issued by Slovenian qualified trust services providers. Soon it will be possible to use qualified digital certificates issued by trust services providers:

- from the European list of trust services providers, and 

- qualified providers from Croatia, Serbia, Montenegro and in Northern Macedonia.

Can I sign a document with a personal qualified digital certificate from the cloud infrastructure of a qualified digital trust services provider?

The BetrSign® service currently supports document signing with personal qualified digital certificates stored in the cloud of the following qualified trust service providers:

- OneSign (Halcom, Slovenia)
- SI-PASS (Ministry of Public Administration, Slovenia)
- E-Potpis (FINA, Croatia)

To be able to sign with a personal qualified digital certificate in the cloud you must first acquire a personal qualified digital certificate and store it with the qualified trust services provider. 

How do I start using the BetrSign® service?

Before starting you have to select an appropriate plan for the Pero®START service, the service usage period and the number of users. After submitting an order you will receive an email with instructions for the payment and activation of the service. After sending the payment confirmation you will receive a registration and SETCCE electronic identity confirmation link by email. Use this for logging into the portal and using it for document e-signing.

Why is a higher level of login security required for using the portal?

Users have the option to use the portal for sending documents (including those with sensitive content) for remote signing on behalf of the company. For additional security when using the BetrSign® service and e-signing documents we have incorporated an advanced login system in the portal, which provides a higher level of security or two-factor authentication (username/password and OTP).

Can I send a document to be signed and select different login methods for the signee?

Before sending documents for remote e-signing the portal provides an option for selecting how the signee must login before e-signing. The choice of login method depends on a document’s level of confidentiality and the sensitivity of the business process.

How do I send documents to the customer for e-signing?

After successful login to the portal you are guided through the four steps from the beginning to the end of the preparation and sending of documents for e-signing. In the first step you upload the documents, then select the signees and then the method for signing and authentication (login) of the signees before they can e-sign your documents. In the penultimate step you select the location of the signatures on the document and complete the process by sending the prepared documents to be remotely e-signed.  

How can a customer sign a document, and must they pay anything to do so?

Remote e-signing with the BetrSign® service is free for your customer. The signee confirms the document link they have received by email, confirms their identity (if they do not yet have a SETCCE electronic identity, they have to create one before accessing the document) and after successfully logging-in with an internet connected device (smartphone, tablet or desktop computer) accesses the document. After reviewing the document the signee signs it with the method of e-signing set by the document’s sender:

- the BetrSign® service provider’s a qualified digital seal (the signee does not need any technical assets),
- your company’s a qualified digital seal (the signee does not need any technical assets),
- the signee’s qualified digital certificate stored on a secure local medium;
- the signee’s qualified digital certificate stored in the cloud of a qualified digital trust services provider.

Can documents be sent for remote e-signing to our customers or partners abroad?

The BetrSign® service is a trusted service which is internationally recognised both among clients and end users. The service is available to use in different languages and has over 300,000 users in more than 15 countries.

Can I check the status of a document which I have sent to signees and get an insight into the history of all signed documents?

The document status can be checked in the INBOX section of the BetrSign® portal. You can immediately check the status of all documents sent for remote e-signing. Has the signee already signed the document or is it still in the signing queue? If a recipient has not yet signed a document, you can use the re-send option to send them a notification with a prompt to sign the document.

Is it possible to include our graphical branding elements in email messages?

The BetrSign® service allows you to personalise messages and highlight your branding elements in email messages (request to e-sign a document and receipt of signed documents) received by signees of your documents with the corporate colours, logo and standard text.

Which document formats can I sign?

Documents in PDF and PDF/A formats can be uploaded to the BetrSign® service portal for remote e-signing. With a Word plugin you can also send DOC and DOCX documents to be e-signed. E-signed documents are thus prepared for secure and long-term electronic storage in the PDF/A format.

If I create a document in Word, do I have to convert it to one of the supported formats and upload it to the portal, or is there another way of sending Word documents for remote e-signing?

If you have purchased the appropriate usage plan for the BetrSign® service, you can obtain a special plugin for Word. This plugin enables you to prepare a document for e-signing directly in Word. You can specify the signing workflow, signees, signing method and messages for notifying signees. The use of the Word plugin is limited to the preparation and sending of only a single document at a time.

When and where do I receive the e-signed document?

When all documents have been signed by all signees, you will receive the documents in your mailbox at the same time as the signees.

Are other methods of distributing e-signed documents possible?

Signed documents can be immediately available for further processing in your backend business information systems. The BetrSign® service can use the secure SFTP protocol to forward signed documents to a pre-set depository or directly to recipients to predefined email addresses.
